File Capture section



This is a function that copies image files to a folder and records the file name and link in the Photo Library. It consists of:

  1. Selecting the destination of the image files.
  2. Locate the source of the image files.

Also note the following when details of the images are added to the Photo Library (these can be edited if necessary):
  • Prefix: identifies the record as being part of the File Capture process.
  • Type: records each file as being a 'Digital image'

Getting the files ready before copying to the central folder:
  1. Prior to copying the files to a central location go through the folder and remove any unwanted files.
  2. Remove any files that are not image files. The File Capture process captures all files in a folder.
  3. Check and edit (if necessary) the names of the files: the name is used as the Subject / Caption in the Photo Libraray.

After copying and adding new records to the Photo Library:
  1. Unique IDs: During the process a new record is created for each file and unique Photo ID is also created. This ID is a combination of the automatically generated unique ID of the Photo Library, and automatically generated unique ID if the File Capture record.
  2. Management: a Management record is added to each Photo Library record and the Source field has '[Unknown]' inserted.

File Capture log
Available via clicking Log and the File Capture form. This section records the file that were impoted, note the following:
  • File Capture ID: automatically generated unique ID if the File Capture record.
  • Category: name of the folder that store the copied image. You need to enter a name here prior to any copy.
  • Date and Time: exacly when the file was copied.
  • Folder Name: the complete path, including folders name, to the orginal folder.
  • File Name: full name of the original file that was copied.
This log cannot be edited or records deleted.
